Currently we looking for Office Manager, acts both as an office support specialist and receptionist. Performs most office support duties. Provides a wide range of services to ensure efficient office operation.
Responsibilities:
- General office services: maintaining schedules and administering systems or arrangements for purchasing, receiving, dispatching, and delivering goods and/or services, helping contractors with office requests, maintaining inventory of office supplies and ordering supplies equipment, and services within procedures and agreements, keeping all requests in Jira under control and in progress, alert cross-department issues and work with landlord services, keeping office managers; storage in order
- Visitors hosting and office event area: preparing business visits (taxi/lunch, accommodation, meeting rooms, conference halls), maintaining stock of visitors' gifts and other goods, alert in case of escalation or high priority/nonstandard greeting, cooperating in arranging in-house events
- Reception area: managing general postal operations and ensuring on-time delivery, handling supplier documents, payments, and escalations, conducting regular office observation, managing reception area processes (phone calls, info point, lost and found)
- Office planning, reorganization, opening/closing facilities: supporting office opening/closing arrangements, establishing general office services and reception areas
- Other areas: maintaining records of administrative expenses and petty cash, reporting expenses, recommending improvements in procedures and policies, producing regular and/or ad hoc reports, maintaining office support-related database, identifying and reporting problems to the Head of Administrative Services Sub-Unit, supporting other departments with administrative and operational tasks.
Requirements:
- Working experience in the same position/industry or both 1+ year
- At B2 level in English knowledge
- High level of attention to detail and accuracy
- Excellent collaboration, verbal and written communication skills
- Strong client relationship management and customer service skills
- Positive attitude under stressful conditions and willingness to help wherever required
- Look for creative ideas and generate other information to improve office life
- Strong Knowledge of MS Office.
