Office Manager/HR Administrator

We're looking for a friendly, approachable, and solution-oriented
Office Manager/HR Administrator
who loves making people feel supported and comfortable at work. If you enjoy being the go-to person for help, thrive in a positive, fast-paced environment, and know how to keep things organized, this role is for you This role combines office management with HR support, offering variety and the chance to make a real difference in how our team works together.

The role is on-site, based in Lviv.

What You'll Be Doing:

Office Management

• Keep our Lviv office organized, stocked, and cozy
• Handle vendor coordination (supplies, equipment, lunches, cleaners, etc.)
• Plan company events (team building and corporate parties) and internal communications that help build a connected, positive culture
• Track employee birthday and anniversary greetings, manage and order company merch (in collaboration with the Marketing team)
• Track office expenses and coordinate with Finance for reporting and forecasting
• Support travel logistics and helping with visa paperwork, all while making it as stress-free as possible
• Handle office related employee requests
• You will be reporting to the HR Lead

HR Administration:

• Track time-off and absences using the company HR system
• Coordinate training, development programs, manage online learning tools and English courses
• Support medical insurance enrollments in Ukraine and the UK
• Coordinate performance review processes
• Assist with onboarding, workspace setup, and supporting new hires with a friendly, approachable attitude
• Manage HR admin tasks (employee records, insurance, training) with an eye for detail and a spirit of teamwork

What You Bring:

• Experience in office admin, operations, or HR support
• Confident English (written & spoken — Upper-Intermediate or higher)
• Strong organizational skills and the ability to handle multiple tasks while staying friendly and calm
• A passion for making work easier and more enjoyable for everyone around you
• Familiarity with Office 365
