Executive Assistant and Translator

We are looking for an Executive Assistant and Translator for our product in the Lviv office.

REQUIREMENTS
  • Fluent in Ukrainian and at least one other language: English or German
  • Exquisite communication skills in Ukrainian, both written and spoken
  • Business communication skills in either English or German
  • Ability to translate an ongoing conversation fluently
  • Good prioritization and organization skills
  • Ability to interact with an extremely busy executive team and demanding partners
  • Ability to assist in scheduling, record keeping and general management
  • Familiar with standard business tools for writing, calculations and presentation (Google Docs and similar)
  • Optional: General familiarity with ERP systems
  • Fluent in financial rules to interact with the Finance department
  • Availability for travel, mostly in Ukraine and on rare occasions internationally
  • Working hours are generally flexible, but require tolerance for the occasional unusual schedule
  • Polish language skills are helpful, but not mandatory
RESPONSIBILITIES
  • Provide comprehensive administrative and organizational support to the CEO and executive team
  • Manage scheduling, calendar coordination, and meeting arrangements, ensuring efficient time management
  • Translate conversations, correspondence, and documents fluently between Ukrainian and English or German
  • Support communication with Ukrainian-speaking clients, partners, and internal teams
  • Prepare, edit, and format business correspondence, presentations, and reports
  • Maintain accurate records, meeting notes, and documentation
  • Assist in coordinating travel logistics, accommodations, and itineraries for business trips (domestic and international)
  • Support day-to-day operations, including interaction with finance and other departments
  • Handle confidential information with discretion and professionalism
  • Facilitate effective communication between international and local teams
  • Contribute to internal process improvement and ensure smooth administrative workflows
