Role Mission:

The mission of this role is to ensure smooth, efficient, and welcoming office operations by creating a comfortable workspace, supporting employees during onsite work and business trips, and maintaining seamless coordination with coworking services and internal teams.

Responsibilities

Office & Facilities

• Ensure that office spaces are fully equipped, organized, and comfortable for daily work.
• Coordinate with office service providers: meeting room bookings, access pass management, payments, and service-related communication.
• Maintain a high-quality working environment by overseeing cleaning, supplies, minor repairs, and general facility needs (including the corporate apartment).
• Support onboarding of new employees and assist colleagues or partners visiting the office for offline meetings.
• Prepare office areas for teamwork sessions, workshops, and meetings, and manage room bookings and workspace availability.
• Be present in the office 4 out of 5 working days to provide consistent on-site support and ensure smooth daily operations.

Travel & Event Coordination

• Organize business trips: purchase tickets, book accommodation, and manage travel logistics.
• Organize team-building activities, internal offline events, and corporate.

HR Support

• Administer the company's HRIS, including entering and updating employee data.
• Process internal requests from team members and ensure timely, high-quality support.

Requirements

• 2+ years of experience as an Office Manager or Administrator.
• Experience working with coworking spaces or office service providers.
• Excellent organizational skills, strong attention to detail, and process-oriented mindset.
• High level of communication skills and a customer-service mindset.
• Proactive, responsible, and able to work independently with minimal supervision.
• Polish and English — Intermediate+ level for daily communication.
• Willingness to work from the office regularly.
