Role Description

Operations Coordinator supports patients coordination, clinical trial logistics, and customer service. The specialist is highly responsible, organized, and punctual, with the flexibility and adaptability to excel in dynamic environments.

Responsibilities

Coordination of patient and business operational activities and services:

  • Overseeing patient transfers, including scheduling, rescheduling, or canceling transfers as needed.
  • Ensuring all patient service activities are carried out properly, with punctual coordination of visits, travels, and deliveries.
  • Handling all patient communication professionally, adhering to confidentiality principles, and demonstrating discretion, tactfulness, and care.
  • Providing excellent customer service, addressing patient complaints and feedback in a timely and satisfactory manner.
  • Ensuring that patients have a positive experience throughout their interactions with PVR.
  • Coordinating the export of biosamples and biospecimens.

Administrative Coordination:

  • Organizing and managing company employee business trips, ensuring all travel arrangements are efficient and cost-effective.
  • Coordinating the reimbursement of company employees after business trips.
  • Lead the planning and execution of Investigator conferences.

Vendor and External Service Provider Management:

  • Maintaining close cooperation and communication with vendors and external service providers.
  • Monitoring and controlling vendor quality and performance.
  • Verifying vendor invoices for submission to the finance department.
  • Effectively managing communication and coordination with external service providers.

Reporting and Compliance:

  • Providing monthly reporting to the direct line manager.
  • Meticulously collecting all service information using PVR's IT systems and prepare thorough reports as required by management.
  • Managing all coordination services in compliance with PVR's processes, as well as applicable laws and regulations.

Continuous Improvement:

  • Staying current with industry trends, regulations, and best practices related to patient services operations.
  • Collaborating with the Team lead, BO manager and other team members to develop and implement backup and continuity plans to ensure uninterrupted patient and business operational services.

Qualifications

  • All qualified candidates are encouraged to apply, including students
  • Professional knowledge of the industry-specific features.
  • Relevant, demonstratable previous experience in a similar role, coordinating travel, taxi, deliveries will be a plus.
  • Experience in healthcare coordination roles is preferred.
  • Competent PC user (Microsoft Office).
  • Strong Intermediate level of English proficiency, verbal and written.
