Information Management Coordinator

ROLE PURPOSE: 

This position involves responsibility for supporting the effective implementation of SC Ukraine's data management system and new technology systems, ensuring alignment with Save the Children's mission, vision and values. This includes active participation in digital data collection, verification and reporting processes to maintain high standards of data quality and integrity. This position will assist the IM department with the implementation and improvement of MEAL-related tools such as , CommCare and Kobo Toolbox, while developing the skills and knowledge of SC staff and implementing partners in the field of information management and digital technologies for the effective use of these systems. By promoting transparency, accuracy and continuous improvement, this position will contribute to the collection and presentation of information for evidence-based decision-making, training and programme accountability.

The role also involves conducting Post-Distribution Monitoring (PDM) following finance related activities like CVA, FSL, and C4P (cash for protection) payments, which includes coordinating data collection, performing data cleaning and analysis, and preparing comprehensive reports. Additionally, the position ensures that all relevant data is available in trackers, systems and systems to support program activities.

KEY AREAS OF ACCOUNTABILITY:

Information Systems & Data Architecture

• Facilitate the data collection from SC field teams and partners using digital tools (e.g., CommCare, , Kobo Toolbox, PRIME). 
• Ensure monthly precise submission of activity data base reports, CommCare, Kobo Toolbox. 
• Manage and update program trackers and cumulative tables with data, using designated software platforms (e.g., , Kobo Toolbox) to ensure accurate and timely data entry and reflection.
• Developing automated systems to support information handling and inter-team data exchange at the Area Office level
• Being countable for regular Data Quality Checks (DQCs) for area based, to ensure accuracy, completeness, consistency, and reliability of all programme data collected through CommCare, KoboToolbox, and partner reports.
• Support the design and development of digital forms, skip logics, validation rules, and user profiles include Kobo forms and CommCare application. 
• Ensure alignment with SCI global and local data protection policies (GDPR, Child Safeguarding, IM Policies).

Data Quality & Analysis

• Clean and analyze data using Excel, Power Query or other tools as needed. 
• Apply validation rules to ensure accuracy and completeness.
• Ensure monthly accurate submission of activity database reports from CommCare and Kobo Toolbox and etc.
• Coordinate regularly with programme, MEAL, and partner teams to ensure smooth data flows, timely troubleshooting, and accurate reporting
• Conduct regular data triangulation through regular spot checks of the MoVs 
• Correct any discrepancies in coordination with field teams and partners. 
• Automation of information management and information exchange processes in area office.

Dashboards, Visualization & Reporting  

• Develop, automate, and maintain Power BI dashboards for programme and MEAL teams.
• Create visualizations that support decision-making, including sector/area-based dashboards.
• Produce data briefs, maps, tables, infographics, and presentations.
• Regularly conduct Post Distribution Monitoring surveys on CVA/FSL/C4P activities to understand the satisfaction of beneficiaries on beneficiary registration process, distribution, amount and use of cash etc.
• Prepare and submit Post-Distribution Monitoring (PDM) reports, summarizing key findings, beneficiary feedback, challenges, and actionable recommendations for programme improvement.
• Contribute to donor reports based on collected PDM data

Capacity Building 

• Conduct refresher sessions for SC and partner staff on data quality standards. 
• Provide training, ongoing guidance, and very close technical support to partners and field teams on using data-collection tools (e.g., CommCare, Kobo Toolbox).
• Ensure continuous technical support and proactive coordination with programme staff and partners to maintain data quality, troubleshoot issues, and improve IM workflows
• Share best practices for digital data collection and reporting

QUALIFICATIONS AND EXPERIENCE

Education

•  Degree in Sociology, Pedagogy, Statistics or any other relevant field.  

Qualifications

• As a member of the country office team, demonstrate behaviors that are consistent with Save the Children's Mission, Vision and Values and ensure their broader application by staff across the program.

Experience (Required)

• Previous 2 years of experience in an information management or MEAL experience in NGOs. 
• Strong MS Excel skills (Power Query, pivot tables, formulas).
• Experience developing dashboards in Power BI (or Tableau).
• Ability to manage large datasets and ensure data quality.
• Excellent interpersonal communication skills 
• Ability to work independently with very limited oversight and support 

Experience (Desirable) 

• Previous experience with Save the Children and understanding of SC MEAL systems and tools.  
• Experience in data visualization and presentation
