Executive Support Role

This position is an excellent opportunity to work in a dynamic environment and provide high-level support to senior management.

As an executive assistant, you will be responsible for managing the daily schedule of the General Manager, including coordinating meetings, appointments, and travel arrangements. You will also be required to maintain accurate records, prepare reports, and perform various administrative tasks as needed.

  • Providing administrative support to the General Manager, including scheduling appointments, arranging travel, and preparing correspondence.

  • Maintaining accurate records, including meeting minutes, action items, and follow-up tasks.

  • Preparing reports, presentations, and other materials as required.

  • Coordinating events, conferences, and meetings, including logistics, catering, and audio-visual requirements.

  • Managing the General Manager's calendar, ensuring that all appointments, meetings, and deadlines are met.

  • Developing and maintaining effective relationships with internal and external stakeholders, including vendors, customers, and colleagues.

  • Providing guidance and support to junior team members, helping them to develop their skills and knowledge.

  • Staying up-to-date with company policies, procedures, and initiatives, and applying this knowledge to improve business operations.

  • Ensuring the confidentiality and security of sensitive information, including financial data, employee records, and business strategies.

You should have excellent communication and interpersonal skills, with the ability to build strong relationships with colleagues, managers, and external partners. Requirements

To be successful in this role, you will need:

  • A university degree or equivalent experience.

  • At least 1 year of experience as an executive assistant or in a similar role.

  • Excellent organizational and planning skills, with the ability to prioritize tasks and meet deadlines.

  • Strong communication and interpersonal skills, with the ability to build relationships with internal and external stakeholders.

  • Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.

  • Fluent English language skills, both written and verbal.

  • Analytical skills, with the ability to analyze problems and develop effective solutions.

Working Conditions

This role is based in Kyiv, Ukraine, and requires occasional travel within Europe and beyond. You will work standard working hours, with some flexibility to accommodate meetings and appointments outside of core hours.
