POSITION OVERVIEW

Under supervision of the Monitoring, Evaluation, Accountability and Learning coordinator, the Senior Grants and Partnerships Officer is responsible for supporting overall/cross-cutting grants coordination, partnerships, and reporting needs. The Senior Grants and Partnerships Officer will maintain contacts and coordinate with authorities, donors, INGOs, clusters and partners to share information and collect updates and needs; will support program sectors in the preparation of reports both internally and externally; will represent FHI 360 with stakeholders as needed. S/he is responsible for ensuring that the assigned portfolio of projects meet their deliverables on time, on scope and are compliant with donor and organizational guidelines.

KEY RESPONSIBILITIES AND DELIVERABLES

• Responsible for grant management, including timely submission of all deliverables, such as monthly, semi-annual, annual and final reports and ensuring the project teams are delivering high-quality and timely reports.
• Facilitate grants opening and closing workshops with relevant departments and partner(s).
• Communicate grant proposals and report requirements to all project team and sub-recipients in a timely manner.
• Support in approval requests for the donor, review and edit submission before its submission to the donor.
• Assist the project teams with the coordination and management of grants, project materials, and information, including maintaining and organizing project documentation on relevant project online folders.
• Send reminders to keep the team on track with reporting deadlines and technical deliverables.
• Collect information for use in reports, reaching out to different departments, sub-recipient, and partners for information and implementation updates.
• Take overall responsibility for the management of grants and partnerships with sub-recipient(s), ensuring effective oversight of the sub-recipient. This includes conducting spot checks, site visits, and internal reviews, using the FHI 360 standardized tools and procedures
• Provide administrative support to projects as needed by writing, reviewing, and translating reports and project documentation.
• Maintain key contacts with peer INGOs and government partners to share information and stay up to date on changes/developments in the humanitarian space; represent FHI 360 externally with stakeholders when needed.
• Keep FHI 360's external project contacts list up to date, document key contacts and meetings.
• Support FHI 360 active membership in the NGO forum or other national level coordination bodies including Cluster representation.
• Support the organization and facilitation of monitoring visits from donors.
• Work together with program team in the identification and selection process of Civil Society Organizations (CSOs) and other implementing partners, as required.
• Develop and maintain a roster of potential funding partners and donors, proactively monitor upcoming funding opportunities, and support business development efforts to secure future projects.
• Fulfill other administrative and special project duties as assigned by the supervisor.

DESIRED QUALIFICATIONS

• A minimum of a bachelor's degree or its International Equivalent in International Relations/Development, Humanitarian Aid, Business Administration, Communications, or any other related Social Studies.
• A minimum of 4 years of experience in grants management and reporting, and/or project development in a development/humanitarian context.
• Desired prior work experience in a non-governmental organization (NGO), government agency, or private company in humanitarian assistance or related industry experience in a relevant technical area.
• Desired knowledge of reporting processes of institutional donors.
• Strong oral and written communication skills in English and Ukrainian.
